Sales Coordinator

Contract Position – Hiring Immediately

The position supports the sales department by performing administrative duties and organizational tasks, and liaising between departments. This is an inside sales role reporting to the VP of Business Development. They will also interact with clients and potential clients from time to time. The sales coordinator must be able to balance multiple responsibilities at once with little supervision. Enthusiasm, professionalism and follow-up skills are useful in this position. Must have good writing skills, strong attention to detail, and be business-savvy in dealing with clients.

Areas of focus:

Customer Relations

Interacting with the sales team, other teams, and customers is one of the key duties of the sales coordinator. When members of the sales team are busy or traveling, the sales coordinator may handle customer phone calls and emails. In essence, the sales coordinator is a liaison between the salesperson and the customer, and especially between the other internal departments: marketing, programming, finance, operations. Duties will include collecting logos, photos, bios, speaker names/titles from the sponsors, and sharing the info with relevant internal departments. Filling in the contract templates based on Sales reps’ notes. Research, helping with grant application forms, etc.

Managing Schedules & Reporting

A sales department can be busy and stressful, and the sales coordinator is a key to keeping the department organized. Sales coordinators may make travel arrangements, confirm appointments and input expense reports. Because there are multiple salespeople, the coordinator must stay focused and highly organized in order to balance everyone's schedules. Duties will include managing the Sales Sheets from each Sales Rep to make sure all relevant departments are aware of the required details. Ensuring sponsorship fulfillment is done, by setting up any details in advance, and by confirming details on-site at events, therefore, must be calm under pressure.

Computer Skills

Sales coordinators spend a large portion of time on the computer and they must be skilled in this area. Duties may include updating forecast data, maintaining customer files and communicating information to members of the sales team. Good skills in document, spreadsheet and database programs are needed for this position. Must be familiar with SalesForce inputing and creating reports. Excel spreadsheets. Preparing documents ahead of sales meetings. Inputting business card info after tradeshows, and possibly following up with meeting requests for the Sales reps.

Flexibility

A sales coordinator must be flexible enough to handle unforeseen challenges. It is important to be resourceful and have quick decision-making skills. The Sales Coordinator must be organized and detail-oriented, but also personable enough to deal with clients and promote our brands.
